How to Edit or Remove Shifts That Repeat
Recurring shifts can be edited or removed directly from the Schedule Calendar. Depending on how many weeks need to be updated, you can either modify individual shifts or update one week and copy it to future weeks.
- Edit a single recurring shift
- Remove a recurring shift
- Update recurring shifts across multiple weeks
- Important limitations
Edit a Single Recurring Shift
Use these steps when you only need to change one occurrence of a recurring shift.
- From the left navigation menu, select Schedule > Calendar.
- Locate the shift you want to edit.
- Hover over the shift and click the Edit (Pencil) icon.
- Update the shift details, such as:
- Start Time
- End Time
- Assigned Employee
- Click Save.
This only updates the selected shift and does not affect future or past occurrences.
Remove a Single Recurring Shift
If you only need to remove one occurrence of a recurring shift:
- From the Schedule Calendar, locate the shift.
- Hover over the shift and select the Delete option.
- Confirm the deletion.
Only that individual shift will be removed.
Update Recurring Shifts Across Multiple Weeks
If the same recurring shift needs to be removed or changed across several weeks, the recommended approach is to update one week and copy it forward.
For example, if an employee should no longer work every Monday for the next two months:
- Delete the employee's schedule for the future weeks you want to update, leaving one correctly scheduled week as your template.
- Remove or edit the recurring shift in that remaining week.
- Verify that week's schedule looks exactly how you want future weeks to appear.
- Copy and Paste that week's schedule to the remaining weeks in the date range for that single employee.
This method updates the recurring schedule while leaving the rest of the team's schedule unchanged.
Important Limitations
- There is no option to remove recurring shifts by day of the week (for example, deleting every Monday shift) with a single action.
- Changes made in Setup or other scheduling configuration areas do not update shifts that already exist on the Schedule Calendar.
- If a shift has already been created, it must be edited or removed from the Schedule Calendar.
