How to Submit Shift-Based Availability
Employees can submit availability for multiple positions and shifts at once, making it easier for managers to build schedules.
This article covers Shift Based Availability. If your manager has asked you to submit Hourly or Event Based Availability, follow the instructions for that availability type instead.
If you're unsure which type of availability your manager has requested, please contact your manager.
Please Note: At this time, there isn't a way to disable General Availability. If your organization does not want employees to use General Availability, this will need to be communicated through your organization's internal policies or procedures.
Access Your Shift Based Availability
- Log in to your SubItUp employee account.
- From the left navigation menu, select My Availability.
- You'll see the positions you're currently associated with.
- Select a position where availability has been requested.
Positions marked Requested are positions where your manager is currently asking you to enter availability.
Positions marked Confirmed are locked, meaning your manager is not currently requesting availability for that position.
Once you select a Shift Based position, you'll see your Shift Based positions, Shift Templates, and the different days of the week.
Important: Shift Based Availability is entered by day of the week, not by specific calendar dates.
Enter Availability for Shift Templates
Shift Templates represent the specific shifts your manager may schedule.
Select a Shift Template and choose one of three availability options:
Available: You are available and would like to work this shift.
No Preference: You would prefer not to work the shift, but you can still be scheduled if needed. Employees marked Available will be prioritized ahead of employees marked No Preference when filling the shift.
Unavailable: You cannot work the shift and should not be scheduled.
Review your Shift Templates for each day of the week and select the appropriate availability.
Add General Availability
In addition to entering availability for individual Shift Templates, you can use General Availability to provide your manager with broader timeframes when you are available or unavailable.
To add General Availability:
- Select the appropriate day of the week.
- Click the option to Add General Availability.
- Add a time block.
- Enter the start and end times.
- Select whether you are Available or Unavailable.
- Click Save.
You can add multiple General Availability blocks to the same day as needed.
How General Availability Works With Shift Templates
General Availability can also update your Shift Template availability.
For example, if you enter that you are Available from 8:00 AM to 12:00 PM, Shift Templates that fall within that timeframe can be updated to Available.
You can also enter General Availability during times when there are no existing Shift Templates.
For example, if there are no Shift Templates between 4:00 AM and 7:00 AM but you know you cannot work during that time, you can enter yourself as Unavailable from 4:00 AM to 7:00 AM.
This gives your manager additional availability information if they need to create a shift during that timeframe.
Shift Template Availability Is Important
When a manager creates a schedule using a Shift Template, the availability associated with that Shift Template is what they will see when scheduling.
Because of this, make sure your individual Shift Template availability is accurate before completing your availability.
General Availability provides managers with additional information, especially for shifts that may be created outside of existing Shift Templates.
Mark an Entire Day Available or Unavailable
General Availability can also be used to mark yourself Available or Unavailable for an entire day.
For example, if you mark yourself Unavailable for all of Tuesday and save your changes, the Shift Templates listed for Tuesday will also be marked Unavailable.
The same can be done if you are Available for the entire day.
Overnight Shifts
All day availability does not automatically update overnight Shift Templates that extend beyond midnight.
For example, if a Shift Template runs from 9:30 PM to 5:00 AM, an all day availability selection will not automatically update that overnight shift.
Make sure you review overnight Shift Templates individually and select the appropriate availability.
Search for Specific Shift Templates
If you have a large number of Shift Templates, you can use the Search feature to find specific shifts.
For example, if you only want to see shifts associated with a particular location, enter the location name into the search field. SubItUp will filter the Shift Templates displayed.
Before You're Finished
Review each day of the week and make sure your availability is accurate.
Pay particular attention to your:
- Individual Shift Templates
- General Availability
- Overnight Shift Templates
- Positions marked Requested
Once you've entered your availability for each applicable day of the week, your availability is complete.
