How to View and Edit Employee Time Clock Data

Use the Time Clock Data page to review, edit, and manage employee clock-in and clock-out records.

Accessing Time Clock Data

  1. In the left-side toolbar, select Time Clock.
  2. Click Time Clock Data.

Configure Your Report

Before viewing data, set your filters:

  • Start Date / End Date – Select the time range you want to review.
  • Positions – Choose one, multiple, or all positions you manage.
  • Employee Filter – Search for a specific employee by name.
  • Time Type Filters – Choose to view:
    • Scheduled time
    • Unscheduled time
    • Currently clocked-in employees

Only selected options will display in the report.


Unpaid Break Setting

  • Checked – Use if employees do not clock out for unpaid breaks (system deducts time automatically).
  • Unchecked – Use if employees do clock out for breaks (system uses actual clock data).

Understanding the Data

Each row displays:

  • Shift Title & Position
  • Scheduled Time
  • Actual Time Worked
  • Delta (difference between scheduled vs. actual time)

Color indicators:

  • Red values indicate less time worked than scheduled

In/Out Status Icons

  • Circle – No clock-in/out data
  • Red X – Employee has clocked in and out
  • Green Check – Employee is currently clocked in

Editing Time Clock Data

  1. Click View/Edit next to a shift.
  2. Use the Quick Clock-In tool to:
    • Add a clock-in time
    • Add a clock-out time
  3. Existing entries will appear in the center of the screen:
    • Click Edit to update a time entry
    • Click Delete to remove an entry
    • Click History to view changes and audit logs

Adding Unscheduled Time

If an employee forgot to clock in/out:

  1. Click Unscheduled Clock In.
  2. Select:
    • Position
    • Employee
    • Clock-in and clock-out times
  3. (Optional) Add a note
  4. Save the entry

This will appear under Unscheduled Time.
