How to Apply Pay Rates to Employees
Apply new pay rates or update existing pay rates for individual employees, multiple employees, or multiple positions.

Apply Pay Rates to Multiple Employees
- From the left navigation menu, select Staff > Staff Management.
- Click the Blue Pay Rates button in the upper-right corner.
- Select the Start Date for the new pay rate.
- If needed, select an End Date.
- Select the position or positions the pay rate should apply to.
- Select the employees you want to update. You can choose specific employees or all employees.
- Choose which employees the update should affect:
- Employees with No Rate to apply a pay rate to employees who do not currently have one.
- Employees with a Current Rate to update employees who already have a pay rate.
- Select Hourly Wage or Salary.
- Choose how you want to apply the new pay rate.
- Follow the prompts to review and confirm the changes.
Set the Start and End Date
The Start Date determines when the new pay rate becomes effective.
You can enter a future start date if the new rate should not take effect immediately.
You can also enter an End Date if the pay rate should only apply for a specific period.
Important: If an End Date is entered and passes without another pay rate being set, the employee will no longer have an active pay rate in the system. If the rate should continue indefinitely, leave the End Date blank.
Update an Existing Pay Rate
When updating employees who already have a pay rate, you can choose how the adjustment should be calculated.
Options include:
- Increase by percentage
- Decrease by percentage
- Increase by dollar amount
- Decrease by dollar amount
For example, if all selected employees are receiving a percentage increase, choose Increase by Percentage and enter the percentage amount.
Manage Future Pay Rates
If employees already have future pay rates scheduled, SubItUp will ask how those future rates should be handled.
You can choose to:
- End the new pay rate the day before an existing future pay rate begins.
- Delete existing future pay rates and use the newly entered rate instead.
Review this selection carefully before continuing.
Review Pay Rate Changes
Before the new rates are applied, SubItUp will display the selected employees and their pay rate changes.
You'll be able to review:
- Current Pay Rate
- New Pay Rate
- Start Date
- End Date
You can also make individual adjustments from this screen before applying the changes.
Once you've reviewed the information and everything looks correct, click Confirm to apply the new pay rates.
Edit a Pay Rate for an Individual Employee
If you only need to review or update one employee's pay rate:
- From the left navigation menu, select Staff > Staff Management
- Select the edit pencil next to the employees name
- Click Pay Rates at the top of the employee's profile.
- Review the employee's current pay rates for each position.
- Find the pay rate you want to change and click Edit.
- Enter the updated pay rate.
- Click Save.
Modify Pay Rates Across an Employee's Positions
If an employee works in multiple positions and you need to update their pay rates, select Modify All from the employee's Pay Rates section.
This will open the pay rate tool and allow you to make changes across the employee's positions using the same pay rate process.
Important Notes
- Pay rates can be applied to one or multiple positions.
- You can update specific employees or multiple employees at the same time.
- Use Employees with No Rate when assigning pay rates for the first time.
- Use Employees with a Current Rate when adjusting existing pay rates.
- Pay rates can have future effective dates.
- Be careful when adding an End Date. Once the End Date passes, the pay rate will no longer be active unless another rate has been established.
- Review all employee pay rates before clicking Confirm, especially when making changes to multiple employees.
