Can I Track PTO for Employees Using RTO's?

If you want to track employee PTO (Paid Time Off) in SubItUp, you may be wondering if RTO (Request Time Off) can be used for tracking paid time.

Current Limitation

SubItUp does not currently offer a way to:

  • Restrict RTO to only certain groups, or
  • Directly track PTO balances within the RTO feature

RTO is designed primarily for availability and scheduling conflicts, not for tracking paid time.


Recommended Workaround

You can still track employee PTO using a scheduling-based approach.

Step 1: Create a PTO Position

Create a new position such as:

  • RTO Management or Employee PTO

This position will be used only for tracking time off.


Step 2: Create PTO Shift Templates

In this position, create shift templates for:

  • Full Day (8 hours)
  • Half Day (4 hours)

Step 3: Use RTO as a Reference

Employees can still submit RTO requests, but instead of approving them:

  • Use the request as a reference
  • Manually assign the appropriate PTO shift (4 or 8 hours) on the schedule

Step 4: Track PTO Using Reports

Run a Payroll Report using scheduled data to track:

  • Total PTO hours taken
  • PTO usage by employee

This approach allows you to:

  • Track PTO in hours
  • Prevent employees from being scheduled while on PTO
  • Keep everything visible on the schedule
  • Report on PTO using existing tools

Pro Tip

Keep PTO shifts in a separate position so they do not interfere with regular scheduling.
