From the calendar view you can conveniently create and add individual shifts to your schedule. The shifts can either be assigned to an employee or left open for any available employee to pick up.
How to Create an Individual Shift:
To add a shift to your schedule navigate to the Calendar View page by clicking on the Calendar icon, , in the managers dashboard. Select the "By Employee" view. Now when you hover your mouse over the employees' rows you will see a green plus, , appear and disappear. To add a shift, for example, for employee "Reginald Forman" on Friday 8/4/2016 click on the green plus, , in Reginald's row and under the Friday's column. (Alternately you may also choose to click on the "create shift" icon.
Once clicked a pop up window will appear. In this window you will be able to customize the details about the shift you are adding. Since we clicked on a green plus,, in Kevin's row and under the date Friday 8/4/2016 the "Date:" and "Person:" fields have already been populated. Next select the shift title that you wish to add which will automatically populate the "Start Time:" and "End Time:" fields. You may also select a template to speed things up, if they have previously been created . Finally click the "Publish" check box if you would like the shift to be immediately assigned and viable by the employee and added to their schedule. In addition, you can add information to a shift title. For example, this shift needs to be indicated as "Extra Employee". That can be added in the space provided next to "Append to Shift Name". There is, also, an option to "Replace the shift name with".
Once completed click the create button, Save, and the shift will be added to the schedule. On the screenshot below you can see that this shift has been added to Reginald's schedule.
Notes About Creating Individual Shifts:
- You do not need to publish the shift right away, an unpublished shift will appear in grey out diagonal slashes on the calendar, and can be published later on by clicking on the publish shifts / schedule button:
- To create an unassigned individual shift, set the "Person:" to "Available Shift.
- A note can be added about the shift by clicking on the "Add a Note" link.
