Once you have active shifts templates created and have set or collected your employee's availability you will be ready to generate a schedule.
Schedule Generation Options:
You should consider the two schedule generation options available with SubItUp.
Fairly Based on Hours: This schedule generation option will create a schedule that attempts to distribute shifts as evenly as possible based on your employees availability.
Strictly Based on Priority: This schedule generation option will generate schedules with the seniority or priority that you set on the "Manage Availability" page. By default all employees are set at an equal priority of "1". If you have some staff you would like schedule first leave their priority at "1" and set the remaining staff to a priority level of "2". There is no limit to the amount of priority levels that you set. The generate schedule tool will simply schedule employees with a priority of "1" first, then "2", then "3", and so on. *Setting a priority of "0" will not schedule any shifts for that staff member.
On the Manage Availability page, , there are additional settings options, aside from the priority setting, that you can use to generate a schedule catered to your specific scheduling needs.
Doubles: With the "Allowed" setting an employee can be scheduled for more than one shift per day. With the "Not Allowed" setting an employee will be scheduled for a maximum of shift per day.
Max Hours/Day: This controls the maximum number of hours a staff member will be scheduled for per day.
Hours/Week: This controls the total amount of hours a staff member will be scheduled for in a given week.
1. Can staff work more then one shift a day?
2.Limit how many hours staff can work a day.
3.Limit how may hours staff can work in a week.
4. Activate Global hours setting to cap how many hours staff can work across all positions.
5. 6. 7.
Generating a Schedule:
To generate a schedule click on the "Generate Schedules" button, , on the managers dashboard in the left grey bar or on the right hand side of the Advanced Calendar. This will open a pop-up menu where you can select options for the schedule you wish to generate. In the pop-up menu you can select the day of the week you wish to start your schedule on, the start date, and the date you wish to generate your schedule through. Schedules can be generated for a minimum of 1 week to a maximum of 1 year.
Once you click on Continue you will se a summary of all active shift templates. On this page you may choose to manually select staff to particular shifts prior to auto generating all remaining shifts or you may simply click "Generate" to allow the system to automatically assign all shifts(recommended)
After clicking on the "Auto Generate Week" button you will be given the option to generate again or navigate to the Calendar page where you be able to view, edit, and publish the schedule you have generated. Your schedule will look something like the screenshot below.
Notes About Generating Schedules:
- When a schedule is generated it is always unpublished, meaning the shifts will appear in grey text, and your employees will not see these shifts in their calendar until you publish the schedule.
- If after generating a schedule you decide to adjust some settings and regenerate a schedule for the same time period, it is important to first delete the shifts you originally generated, otherwise you will have extra shifts in your schedule(every time you generate you are creating all shifts for any active template. If your generate twice with the same templates active you will have duplicates of all shifts)
