Depending on your account settings you will need to approve/deny requests from your employees to add and swap shifts.
The "Moderation" setting can be either on or off. If "Moderation" is turned off anytime an employee adds a shift or two employees swap a shift the schedule change will be immediately updated on all schedules. If "Moderation" is turned on every time an employee adds a shift or two employees swap a shift you will have to approve or deny the request in the Pending Requests page of the managers dashboard. The "Moderation" setting can be turned on or off under the "Settings" link which can be found by clicking on the 9 dot icon, , located at the top right hand corner of your page.
** With Moderation Off you may want to prevent staff from picking up more then their Max allowed Hours for the week in our Manage Availability tool. To do so change the OT Pickup setting to "Not Allowed"
In the settings page you can set your check the box to have "Moderation" turned on or you can leave the box unchecked to have "Moderation" turned off. The rest of the article will only apply when "Moderation" is turned on.
It is also recommended that you set the starting day of your pay period in the "Overtime Settings" section. This will ensure that the overtime calculation on the pending request page is properly calculated according to your organizations pay periods.
Approve / Deny Pending Requests:
To manage your pending requests click on the "Pending Requests" button, , on the managers dashboard. On this page you will see a list of requests of which you can Approve or Deny. Below you can see two Pending Request that a manager can choose to Approve Or Deny.
In the example below Neal is allowed to work 30 hours a week. The request to pick up this shift would not put Neal over his max allowed hours. A green Bar visually indicates this is not an issue for Neal's Max allowed hours.
Bob Is requesting a shift that would put him over his max allowed hours. You may still choose to approve this request as you see fit. We have highlighted this request in Red so you ca quickly see this would put Bob over his max allowed hours. The choice is your to approve or deny either of these requests.
After you have clicked Approve or Deny, the request will be removed from the list and an email will be sent to the employee letting them know if the request was approved or denied.
Notes about Pending Requests:
- To manage a request for a dropped shift go to the Calendar page. Information on how to manage drop requests from the Calendar page can be found in the support article entitled "Calendar - Manage Pending Requests."
- When you Approve or Deny a pending request your employees schedules will be updated immediately.
- If you have multiple employees requesting to add the same shift to their schedule, once one employee has been approved by you for the shift, the other requests will automatically be denied and taken off of the list.
