There are two tools used to create reoccurring events. There is a basic "Create Event Tool" in your regular tool bar as well as an Advance Event tool. If you have complex Event Schedules and need to schedule more them one position for an event or need the ease of being able to update an event and automatically offset all shifts related to that event, please contact support for assistance using the "Advanced Event Tool" You may also click the link to the right to watch our Advanced Event Tool intro video: ADVANCED EVENT TOOL
The Create Event tool can be used for a variety of reasons including: to create shifts for a special event, to create shifts for a holiday, or to create shifts for extra coverage during busy times. To create an event navigate to the Create Event page, by click on the Create Event button, , in the managers dashboard.
Create a Recurring Event:
Let's say you manage a campus bookstore which is open Monday through Friday. Your schedule has been created through the end of the fall semester, but after checking out your schedule you decide that for the last week of the semester, December 10-14, you want an extra staff on duty to help with students selling back their text books. Adding this recurring shift can be easily completed using the create event tool. From the Create Event page click on the date of the first recurring shift, in this case click on Monday December 10th.
Now add the shift/event details:
Start Time: 9:00 AM
End Time: :00 PM
Assign to Employee: If you would like employees to add the shifts to their schedule leave the drop down menu as "Available for All Employees." Using this drop down menu you could assign this shift to an employee directly.
Slot(s): Here you can select the number of employees you will need for the shift / event. The bookstore will need 1 extra employee for the entire week.
Automatically Publish: Here we will check off the "Automatically Publish" box so that the shifts are automatically published and employees will be able to add the shifts to their schedule.
Recurrence: Here we will select the "Every Day" option from the drop down menu because we want this shift to recur everyday for 1 week.
Recur Until: Here we will select our end date of "Friday, December 14, 2012."
Event Title: We will call this event / shift "Bookstore - Extra help."
Event Details: Here we can let our employees know the reason for extra help, "Students will be trading in text books and we expect it to be busy."
With this information entered in, your screen will look like this:
Now click the "Add To My Schedule" button, , and the shifts will be added as available shifts on the calendar.
